ACL-02 Sponsorship Program - Policy on promotional materials





Inserting Promotional Material into Conference Kits


1. Any sponsor can have a reasonable amount of relevant promotional material included in the conference kits (for example a short brochure or flyer, or a lightweight promotional object like a CD)

2. We estimate that we will need about 500 copies of the promotional material to have enough to give to everyone. Please check with the Sponsorship Chair a month or so before the conference if you need a better estimate of how many copies of the material to send. If there isn't enough for all the attendees, we'll insert it into kits until we run out. If we end up having too much, we can discuss arrangements for dealing with the extras -- either by arranging to have it shipped back or the local arrangements committee will dispose of it in an appropriate fashion.

3. The promotional material must be made available to the local arrangements committee no earlier than June 27 and no later than July 5. It should be sent to:

4. The organizing committee reserves the right to not include information that is either too bulky or isn't considered relevant to the conference purposes. If we decide that something is inappropriate, we'll follow the same return policy as for excess material. If you aren't sure whether something is appropriate, you might want to check with the Sponsorhip Chair ahead of time before you send it.

5. We need to have your sponsorhip payment by June 17 in order for your material to be included.

6. Anything that arrives either too late to be used or arrives on time but without a payment is subject to the same return policy as excess or inappropriate material.
